AccessCoVE Forum – Registration Consent Form
AccessCoVE Forum – User Registration & Data Protection Consent
The AccessCoVE Forum is part of the Erasmus+ co-funded project
“AccessCoVE – Centres of Vocational Excellence in Accessibility.”
By registering to the AccessCoVE Forum, you acknowledge and agree to the following:
1. Voluntary Registration
Registration to the Forum is voluntary.
By creating an account, you choose to participate in discussions, engagement activities, and campaign-related interactions within the AccessCoVE project framework.
2. Categories of Personal Data Processed
The following personal data may be processed:

Name or chosen display name

Email address

Institutional affiliation (if provided)

Content you voluntarily publish within the forum (such as posts, comments, and poll participation), where such content is associated with your user account

Technical and usage data necessary for platform security, authentication, and system integrity
No special categories of personal data (Article 9 GDPR) are requested.
Users are advised not to publish sensitive personal data within forum discussions.
3. Purpose of Processing
Your personal data is processed exclusively for:

Account creation and user authentication

Enabling participation in project-related discussions

Supporting Erasmus+ project communication and dissemination activities

Monitoring participation levels for project reporting and KPI obligations

Ensuring platform security, moderation, and prevention of misuse
Your data will not be used for commercial purposes.
4. Legal Basis for Processing
Processing is based on:

Article 6(1)(a) GDPR – Explicit consent

Article 6(1)(f) GDPR – Legitimate interest in managing and safeguarding the project’s digital collaboration environment
Where processing is based on legitimate interest, such interest relates strictly to ensuring platform security, preventing misuse, maintaining system integrity, and fulfilling EU-funded project governance and reporting obligations.
You may withdraw your consent at any time without affecting the lawfulness of processing carried out prior to withdrawal.
5. Data Controller
The Data Controller responsible for the processing of personal data in the AccessCoVE Forum is:

6. Data Retention
Personal data will be retained:

For the duration of the AccessCoVE project, and

For the legally required archiving period under applicable Erasmus+ and EU funding regulations
Upon expiration of the retention period, data will be securely deleted or anonymised.
If you request deletion of your account, your personal data will be deleted or anonymised where technically feasible, unless retention is required for legal compliance or EU reporting obligations.
7. Data Sharing
Access to personal data is restricted to authorised members of the AccessCoVE project consortium strictly for project-related purposes.
No personal data will be transferred outside the EU/EEA unless appropriate safeguards under GDPR are in place.
